Set up your Meta Business Suite and let us in

Ten steps, in order, on your own account. By the end your page, your Instagram and your ad account sit under one business portfolio with a card on it, and Hunt Visuals can run your ads and post for you without ever holding your password.

Part 1. Get your own house in order

Meta only lets us do a good job if your accounts are set up properly first. Most of this is already half done, you're just checking.

Steps 1 to 6

Business Suite is the back office behind your Facebook and Instagram. It's where your page, your Instagram and your ad account get owned by one business portfolio. Your personal Facebook isn't the main thing, this is.

  1. Go to business.facebook.com/latest/home and log in with your personal Facebook login.It has to be the login that's an admin of your business page. If you're not sure, it's whichever one you post from.
  2. If it opens on your business, with your business name top left, you already have a portfolio. Skip to step 2.
  3. If it asks you to Create a business portfolio, do it. Use your proper trading name, your business email and your website.Don't create a second portfolio if you already have one. Two portfolios is how pages get lost.
  4. Bookmark it. You'll be back here a few times.

A half empty business profile is the number one reason Meta restricts a new ad account. Fill it in properly once and you'll very likely never hear about it again.

  1. Open Business info. In the sidebar it's under Settings, then Business info.
  2. Under Business details click Edit and fill in every box: legal business name, address, phone, website and business email.Use the name and address that's on Companies House or your HMRC letters. If Meta ever asks you to verify the business, these have to match a document.
  3. Set your Primary page to your business Facebook page.If the dropdown is empty, come back to this after step 3.
  4. Under My info check your own name is your real name and the email and phone are ones you actually check.
  5. If you're VAT registered, add your VAT number where it asks for tax ID, so the ad invoices are usable for your returns.

Your page has to be owned by the portfolio, not just floating on your personal profile. Honestly, the page itself barely matters. It can have zero followers. You need it because Meta won't run an ad without one.

  1. Open Pages. Sidebar: Accounts, then Pages.
  2. If your page is already listed, click it and check your name shows with Full control. Done, tick it off.
  3. If it isn't, click Add, then Add a page, pick your page and confirm.Only choose "Request access" if somebody else's business owns the page. Meta will email them to approve it.
  4. No page at all? Click Add, then Create a new page. Business name, your category, one logo. Five minutes, nobody needs to follow it.
Open Pages

Two links here, and people usually do one and miss the other. The Instagram needs to be in the portfolio so we can post and read your inbox, and it needs to be linked to the page so ads can run under your Instagram handle.

Your Instagram has to be a professional account (Business or Creator). In the Instagram app: Settings, Account type and tools, Switch to professional account. It's free and nothing changes for your followers.
  1. Open Instagram accounts. Sidebar: Accounts, then Instagram accounts.
  2. Click Add, log in to Instagram when it asks, and approve it.If it wants a two factor code, it comes to your phone or your authenticator app, not to us.
  3. When it asks which ad accounts can use this Instagram, tick your ad account. If you haven't made one yet, come back and do this after step 5.
  4. Now the second link. Open your page's settings, find Linked accounts, then Instagram, and click Connect account.Quickest route: facebook.com/settings?tab=linked_instagram while switched into your page.

The ad account is the thing the money goes through, so it needs to be yours, owned by your portfolio. Then if we ever part ways you keep all the data and every result we've built up.

  1. Open Ad accounts. Sidebar: Accounts, then Ad accounts.
  2. If there's already one listed that's yours, click it and check you have Full control. Tick it off.
  3. If not, click Add, then Create a new ad account.
  4. Name it Your Business Ads. Time zone London. Currency GBP. When it asks who it's for, choose My business.Time zone and currency can't be changed afterwards, so get these two right.
  5. On the people screen, give yourself full control. We get added in Part 2.
Already got an ad account with another agency?

If they own it, you can't move it. Create a fresh one under your own portfolio instead and tell us. We'd rather start clean than fight over an account you don't control.

Open Ad accounts

Meta bills your card directly as the ads run. It never comes through us, so you always see exactly what's been spent, in your own account, on your own statement.

  1. Open Payment methods. Sidebar: Payment methods, or from inside the ad account, Billing & payments.
  2. Make sure the ad account from step 5 is the one selected at the top.
  3. Click Add payment method, choose Debit or credit card, and add a company card.A business card, not a personal one. It keeps your bookkeeping clean and Meta's fraud checks are far happier with a card that matches the business name.
  4. Set it as the primary payment method. If you want a safety net, set an account spending limit too. We'll tell you what to put if you're unsure.

Part 2. Let Hunt Visuals in

Two doors, and we need both. One is a person, one is our business. Between them we can fix anything on the back end for you without another call.

We'll never ask for your password. Everything below is a permission you grant from your own account, and you can take any of it back in two clicks, any time, without asking us first.

This is the door that lets us into your settings. Linking accounts, sorting a restriction, checking a payment failed, changing the primary page. All the stuff that's currently a phone call.

  1. Open People. Sidebar: Users, then People.
  2. Click Add or Invite people and enter hv@huntvisuals.com.
  3. Choose Full control, sometimes called Admin access. Switch on Finance too, we need it to launch ads against your card.
  4. On the assets screen, select your page, your ad account, your Instagram and, if there is one, your pixel or dataset. Turn everything on for each one, then click Invite.It's genuinely faster to switch every toggle on than to pick through them. Anything we don't need, we just don't use.

This is the door for the whole team. Whoever is editing, scheduling or running your ads at Hunt Visuals works through this one link, so you never have to add or remove people one by one.

  1. Open Partners. Sidebar: Users, then Partners.
  2. Click Add, then Give a partner access to your assets.
  3. Paste 762633393378294 into the Partner business ID box and click Next.
  4. Go down the asset types on the left. For your page, ad account, Instagram and pixel or dataset, select the asset and switch on Full control, or Manage where that's the top option.
  5. Click Save changes. It should now read Hunt Visuals Ltd in your partner list.
Open Partners

Meta locks lead forms down separately. Without this, your ads run, people fill in the form, and the leads sit in a folder nobody can see. This is the step people miss.

  1. Open Business settings. Sidebar: Integrations, then Leads access.
  2. Select your page at the top.
  3. Under Partners, click Assign partners and tick Hunt Visuals Ltd.
  4. Under People, check hv@huntvisuals.com is listed. If it isn't, click Assign people and add it.

Part 3. Tell us it's done

One message and we take it from here.

  1. That it's done. We'll go in, check every link, and quietly tidy anything that didn't quite land. You won't need to do it again.
  2. Your daily ad budget. The number you're happy for Meta to take off the card each day. We'll confirm it back to you before anything goes live.

The six things that actually go wrong, and what to do about each.

Business Suite opens on my personal profile, not a business

You're logged in with a Facebook account that isn't an admin of your business page. Log out, log back in with the account you post to the page from, and try again.

If you genuinely don't have a portfolio yet, go back to step 1 and create one. Don't create one if a colleague or an old agency already did, ask them to add you to it instead.

Instagram won't connect, or it connects then vanishes

Nine times out of ten the Instagram is still a personal account. Switch it to professional in the Instagram app first (step 4 tells you where), then try again.

If it asks for a code and the code never arrives, check the Instagram app itself. Recent versions show the login approval inside the app rather than by text.

Meta says the ad account is restricted, or I have to confirm my identity

Normal for a new account with an empty profile. Finish step 2 properly, then follow the prompt. It usually wants a photo of your ID and takes a day or two to clear.

Once you've submitted it, tell us. We can't speed Meta up, but we can plan the launch around it.

My page or ad account is owned by someone else

An old agency, a previous employee, or a web designer. Message them and ask them to either transfer it to your portfolio or add your personal Facebook as a full control admin.

If they've disappeared, don't wait. Create a fresh page or ad account under your own portfolio and tell us. Starting clean beats chasing someone for a month.

The partner ID says it can't be found

Check you've pasted it into the Partner business ID box, not the search box above it, and that it's exactly 762633393378294 with no spaces. If it still fails, do step 7 first and we'll add ourselves as a partner from the inside.

It asks me to set up two factor authentication

Meta makes it mandatory for anyone with full control of a business. Say yes. Use the authenticator app option if you can, it's more reliable than text codes. It takes two minutes and protects your ad spend.
